Text Messaging Policy, Terms & Conditions

1. Purpose
The purpose of this policy is to establish guidelines for the appropriate use of text messaging as a means of communication with members. This policy ensures compliance with privacy laws, maintains professionalism, and protects members from unwanted or inappropriate messaging.


2. Scope
This policy applies to all staff, volunteers, and representatives who send text messages on behalf of the East Orlando Chamber of Commerce to members.


3. Acceptable Use


  • Text messages will only be used for official communications, including event notifications, appointment/meeting reminders, emergency alerts, and important updates.
  • Members can expect to receive text messages from the East Orlando Chamber of Commerce 2 to 8 times per month (depending on the number of events registered).
  • Messages are relevant, concise, and professional.
  • Members must opt in to receive text messages and have the option to opt out at any time, by replying STOP to any message or by logging into the member area and unchecking the text messaging box.
  • Personal or confidential information will not be shared via text messages.
  • Messaging will comply with all applicable laws and regulations, including the Telephone Consumer Protection Act (TCPA) and CAN-SPAM Act.


4. Opt-In and Opt-Out Process


  • Members must provide explicit consent to receive text messages through the online member portal or written consent.
  • An opt-in confirmation message will be sent to members upon registration.
  • Members can opt out by replying with STOP, or by contacting the office at 407-277-5951 or eocc@eocc.org.
  • Opt-out requests must be honored immediately, and no further messages will be sent unless the member re-subscribes.
  • Members can also uncheck the text message indicator in their member profile to opt out.


5. Frequency and Timing of Messages


  • Messages will only be sent during appropriate hours (e.g., 8:00 AM – 8:00 PM local time) unless urgent.
  • The frequency of messages will be reasonable and not excessive (2 to 8 times per month).


6. Content Guidelines

  • All messages will include the organization’s name and a clear purpose.
  • Messages will not contain offensive, misleading, or promotional content unrelated to the organization’s mission.
  • A message will include clear instructions on how to opt out.


7. Security and Privacy


  • All text messaging systems must be secure and comply with data protection regulations.
  • Messages containing sensitive information will be avoided


8. Monitoring and Compliance


  • The organization reserves the right to monitor text message communications for compliance.
  • Non-compliance with this policy may result in disciplinary action.
  • Members will report any inappropriate messages received.


9. Privacy Policy


  • The East Orlando Chamber of Commerce respects the privacy of its members and does not share phone numbers with third parties. All personal data is handled in accordance with applicable privacy laws.


10. Terms & Conditions


  • By opting into text messaging, members agree to receive periodic text messages regarding Chamber events, updates, and notifications. Standard messaging and data rates may apply.


  • Sample Opt-in Confirmation Text: "Thank you for subscribing to East Orlando Chamber of Commerce text updates! Expect 2-8 msgs/month. Reply STOP to opt out at any time. Questions? Contact us at 407-277-5951 or eocc@eocc.org.”


  • Sample Opt-out Message: "You have unsubscribed from East Orlando Chamber of Commerce text updates. No further messages will be sent. Need assistance? Contact 407-277-5951 or eocc@eocc.org.”


  • Sample Message: "Thank you for registering for the East Orlando Chamber of Commerce (Event Name) on (Date) We look forward to you attending. Reply STOP to opt out at any time.”


  • Sample Message: "Reminder, you registered for the East Orlando Chamber of Commerce (Event Name) on (Date)We look forward to you attending. Reply STOP to opt out at any time.”


  • Sample Message: “Attention East Orlando Chamber Members: Join us for our upcoming Quarterly Chamber Luncheon on Thursday, March 14th, at 8:00 AM, hosted at The Downtown Event Center. This is a great opportunity to connect with local professionals and build new business relationships. Reserve your spot today: [http://www.eocc.org] RSVP deadline: March 10th. For questions, call (555) 123-4567. We look forward to seeing you there. —Your Chamber Team Reply STOP to opt out at any time.


Note: In the United States, text messages sent by an automated system are regulated by the Telephone Consumer Protection Act (TCPA.) Messages can only be sent between the hours of 8AM and 8PM (based on the recipient's local time.) Before a message is sent or scheduled, the Broadcast Text module will attempt to determine the local time of each recipient, and will return an error if it's determined the message will be delivered outside of these times.
